the application, depending on the nature of the request or video content. As mentioned above, video shared with law enforcement related to a criminal case may be kept for many years. Whereas video from data access requests can be automatically deleted 30 days after the request is fulfilled. Various industry requirements or company policies may factor into how you configure your retention periods for other types of video content or shared files. But once you set everything up, there's nothing more for your team to worry about. The system will automatically delete stored video and data as per your policies, keeping your organisation compliant with the GDPR and any other mandates. How a landmark retailer strengthens GDPR compliance with Genetec Clearance Unibail-Rodamco-Westfield (URW) owns and operates two of Europe's largest shopping centres; Westfield London and Westfield Stratford City. After using Genetec™ Security Center for over a year, the team saw an opportunity to expand the platform's capabilities to enhance privacy compliance. That's when they decided to roll out Genetec Clearance™, as their digital evidence management solution. When an evidence request comes in, the Westfield team can now export video into Clearance and blur identities. Then, they quickly email approved recipients a secure link with access to the files. The team can also set file access time limits and assign specific privileges to users. All of this helps them retain greater control over how that footage is further used and shared. This has massively reduced liability concerns surrounding the possible misuse of footage that must be retained for a significant period of time. How to uphold privacy compliance in 2023 - part two "As publicly accessible sites that welcome millions of visitors, we receive thousands of requests for footage each year from visitors, retailers, and law enforcement," explained Tom Lish, Assistant Security Manager at Westfield Stratford City. "After validating requests, we used to have to manually redact innocent parties in the footage and then burn it onto DVDs but thankfully much of that is now automated, saving us significant time and resources". Choosing a DEMS built with Privacy by Design When video requests come up, using a digital evidence management solution can help streamline the entire process and keep data protection in check. But not all DEMS on the market are created equal. When your goal is to enhance privacy compliance, it's important to consider the vendor and solution you're investing in. Here are a few questions worth asking when shopping around for a DEMS solution: • What does the vendor do to ensure data protection and privacy compliance within their own organisation and the development of their solutions? • Does the vendor undergo security audits to ensure the organisation's security controls and development practices adhere to industry best practices? What certifications do they hold? • Is my data stored locally on servers within the regions in which we operate? Having a long list of helpful features is important, but so is choosing a partner who values data protection and privacy as much as your organisation does. It's a critical step that helps you minimise vulnerabilities and strengthen both your cybersecurity posture and privacy compliance.
